Add Your Gmail Account to Microsoft Outlook 2007 Using IMAP





First log into your Gmail account and open the Settings panel. Click on the Forwarding and POP/IMAP tab and verify IMAP is enabled and save changes.

  • Next open Outlook 2007, click on the tools tab > account settings > new.

  • Tick the check box Manually confiure server settings or additional sever types >Next

  • Select Internet E-mail - Connect to POP or IMAP server to send and receive e-mail messages.

Now we need to manually enter in our settings similar to the following. Under the Server Information section verify the following.
  • Account Type: IMAP
  • Incoming mail server: imap.gmail.com
  • Outgoing mail server (SMTP): smtp.gmail.com

Note: If you have a Google Apps account make sure to put the full email address(user@yourdomain.com) in the Your Name and User Name fields.
Note: If you live outside of the US you might need to use imap.googlemail.com and smtp.googlemail.com
Next, we need to click on the More Settings button.
In the Internet E-mail Settings screen that pops up, click on the Outgoing Server tab, and check the box next to My outgoing server (SMTP) requires authentication. Also select the radio button next to Use same settings as my incoming mail server.

In the same window click on the Advanced tab and verify the following.
  • Incoming server (IMAP): Either 993 (ssl) or 143 (very infrequently 585 (ssl))
  • Outgoing server (SMTP): Either 587, 25 or 465 (ssl) (very infrequently 2525)
  • Click OK when finished.

Now we want to test the settings, before continuing on...it's just easier that way in case something was entered incorrectly. To make sure the settings are correct, click on Test Account Settings.

If you've entered everything in correctly, both tasks will be completed successfully and you can close out of the window. and begin using your account via Outlook 2007

Import your old POP  account into the newly created IMAP  account

If you currently keep a copy of your mail on the server, then you're done! But if you delete them from the server, then you have to import your old POP mail into your IMAP. Here's how to do it
  • Click the File tab.
  • Click Import and Export
  • In the Import and Export Wizard, click Import from another program or file, and click Next

  • Click Outlook Data File (.pst), and then click Next

  • Click Browse, and then choose the file to import.
  • Under Options, it is recommended that you click Do not import duplicates unless you want the imported information to replace or duplicate items already in Outlook.

  • Click Next.
  • If a password was assigned to the Outlook Data File (.pst), you are prompted to enter the password, and then click OK.
  • Set the options for importing items. The default settings usually don't need to be changed.

  • The top folder - usually Personal Folders, Outlook Data File, or your email address - is selected automatically.
  • Include subfolders is selected by default. All folders under the folder selected will be imported.
  • The default selection of Import items into the same folder in matches the folders from the imported file to the folders in Outlook. If a folder doesn't exist in Outlook, it will be created.
  • Click Finish.

  • And the very important thing is you have to delete your old POP account from the outlook, Otherwise they will continue to receive email in the old POP account.
  • Go to tools tab > account settings, remove your old POP account

  • Now you can continue with the IMAP account.

Setting up your Sent folder properly

  • First make sure there is a Sent Items folder in your IMAP mailbox.

  • If you have not subscribed to the Sent Items folder yet, choose Tools > IMAP folders

  • Then:

  • Open your IMAP account settings via: Tools > Account Settings > double click on the IMAP account.

  • Press the button: More Settings.

  • Select the Folders tab.
  • Enable the option Choose an existing folder or create a new folder to save your sent items for this account in.
  • Select the folder where you want to store the Sent Items in.

How to use Gmail to retrieve your Company or Personal Emails (POP)



Setup Gmail to retrieve your POP mails
(Company/Personal Mailbox)



Create a Gmail account at www.gmail.com (Google).
Logon to your Gmail....

1. Go to top right corner, click on "Gear"At Gmail Gear: Go "Setting", click the tab: "Accounts and Import"
2. Click "Check mail from other accounts" (using POP3)
3. "Add a POP3 mail account you own", a window will pop up.
4. "Add a mail account you own" (POP UP)
Enter your full email address: xxx@xxxxxxxx.com (egmail@yourdomain.com)

5. Enter the mail setting for:
Username: your full email address 
eg. xxx@xxxxxxxx.com (mail@yourdomain.com)
Password: enter this email password
POP Server: mail.yourdomain.com
Webmail Port: 110
Tick : Label incoming messages: your email address
eg. xxx@xxxxxxxx.com (mail@yourdomain.com)

6. You can now retrieve mail from this account

Tick : YES

7. Enter information about your other email address
Name: Your Name OR Email Address
Tick : "Treat as an alias"

8. Send mail through your SMTP server
SMTP Server: mail.yourdomain.com 
Port: select 25
Username: your full email address
eg. xxx@xxxxxxxx.com (mail@yourdomain.com)
Password: enter this email password
Tick : Secured connection using TLS (recommended)

9. "Confirm verification and add your email address"
Go to your mail that to be POP into Gmail, reveive mail from Gmail, copy the code, paste in the Gmail "Verify" column. Enter and verify the confirmation code.

10. Reminder: At Gmail / Gear / "Setting"
at "Accounts and Import" tab,
Scroll down to "Send mail as:"
at "When replying to a message:", please tick "Reply from the same address the message was sent to".

Enabling POP for Gmail 

20You can read your Gmail messages from a client or device that supports POP, like Microsoft Outlook.

Step 1: Enable POP in Gmail

  1. Sign in to Gmail.
  2. At the top right, click SettingsGear icon .
  3. Click Forwarding and POP/IMAP.
  4. Select Enable POP for all mail or Enable POP for mail that arrives from now on.
  5. Choose what to do with your messages after your POP client or device receives them. We recommend the first option, keeping Gmail’s copy in the inbox.
  6. Click Save Changes.
Although the radio button next to your selected option may not stay selected, Gmail displays the status next to 'POP Status:.' When you enable POP, your settings display 'POP Status: POP is enabled.'
If your POP settings are turned off, the status will indicate that POP is disabled.
Once you've enabled POP in your Gmail settings, you need to configure your client.

Step 2: Configure client

Go to your client (e.g., Microsoft Outlook) and make sure these settings are correct.

Unless you're using recent mode to download mail to multiple clients, make sure you've opted not to leave messages on the server. Your POP settings in Gmail determine whether or not messages stay on the server, so changing the setting in the client won't make a difference.

How to read/IMAP your Gmail to Microsoft Outlook or other Email Clients

Enabling IMAP for Gmail

You can download messages from Gmail and see them using a program like Microsoft Outlook, Apple Mail, or Thunderbird, even when you aren't online. This process is called POP or IMAP, and is free for all Gmail users.

Tip: We recommend using IMAP if possible because it’s the best way to make sure you can see all your mail at any time on all of your devices. If you'd like to use POP instead, learn how to enable POP.

Step 1: Enable IMAP

You can retrieve your Gmail messages with a client or device that supports IMAP, like Microsoft Outlook or Apple Mail.
  1. Sign in to Gmail.
  2. Click the gear in the top right .
  3. Select Settings.
  4. Click Forwarding and POP/IMAP.
  5. Select Enable IMAP.
  6. Click Save Changes.
Note: This setting is not available while using the basic HTML view of Gmail. To enable IMAP, use the standard view instead. Find out more about standard view and basic HTML view.
